RefTech explains how its technology aims to enhance the visitor experience at this year’s CHS Birmingham.

CHS Birmingham is an annual event taking place at the ICC Birmingham. It is an exhibition and conference bringing together over 1,000 regional event organisers and PAs to learn, network and source the venues and suppliers they need to create business events. 

The challenges

The CHS team wanted to ramp up attendee engagement before and during the show and achieve an enhanced event experience. They also wanted to streamline their processes and automate actions to make their own lives easier. 

Solution

CHS adopted the complete RefTech registration, badging and scanning system – including staffed onsite registration, hosted buyer diary system, lead retrieval, event app, Fast Track entry, the Smart attendee invite, and ScanPods. 

Attendee benefits

Every attendee received a pass with a barcode which was automatically activated when they came within a mile of the venue. The pass was used to gain entry via the ‘Fast Track’ scanning entry points that automatically printed their badge.

The EventReference event app provided attendees, speakers and exhibitors with the latest show information in a simple, easy to read and quick to download format.

It contained an interactive floor plan and searchable exhibitor list, speaker details and conference sessions. Hosted and VIP buyers were supplied with a simple to use hosted buyer diary system to make appointments.

Show organiser benefits

The solution aimed to streamline the team’s workload by managing and automating many of the touchpoints between the team and their multiple attendee types. It was flexible and adaptable and truly enhanced the attendee experience. 

The other key benefit was the RefTech ScanPod – a self-contained, mobile unit that enables attendees to self-scan their badges on entry and at key check points such as entry to seminars. 

These were initially placed at registration to enable fast entry, and then moved to six key places around the show to collect attendee data or restrict access to invite only events. The CHS team may well introduce PrintPods to the event this year to quickly process a barcode and print a personalised badge for each attendee.
