Meet Cambridge, the conference and events bureau for Cambridge, has launched a new online portal for event organisers, which allows them to find suitable and available venues for their conferences, meetings and dinners.
Its ‘My Event’ portal ensures that planners can keep track of enquiries and see responses from venues in real-time.
This solution was created due to feedback from busy event planners, who indicated their need to keep track of responses from venues when organising multiple events.
The portal processes all enquiries through its online system which ensures requirements are matched with venues and that responses are relayed efficiently.
It also allows event organisers to log into their personal portal to view their enquiries, check responses, select or reject venue offers, make provisional bookings and request site visits.
There is a facility to download proposals, update contact details and marketing preferences and contact Meet Cambridge directly if they need further information.
Judith Sloane, deputy manager at Meet Cambridge, said: “We know from talking to event planners that securing the right venue for their event – whether it is a one-day meeting, a residential conference or a corporate dinner – needs to be done quickly and efficiently.
Sloane continues: “While we have always offered a free venue-finding service to achieve this, helped by launching our Simpleview Destination Management System last year, My Event takes this to a new level, tightening up the process and saving planners even more time. This is likely to result in organisers being able to make speedier decisions, meaning that events are confirmed quicker, which adds value for our venue members too. We also recognise that some clients prefer us to collate responses for them and I’m pleased to say that we will continue to offer this as a free service too.”
