remember what they were served, so it’s important to work on providing the
right menu choices.

Accessibility is key
To
maximize attendance on the day, you need to ensure that people can get to the
venue with ease. Make sure all delegates are given options for travel, and if
by car, supply maps and ensure there is plenty of parking nearby. If the venue
is easily accessible by bus and train this is a major benefit. It not only
helps the event’s environmental credentials but also gives your delegates a
wider choice to suit their preferred method of transport.

Schedule breaktimes
People
only concentrate for so long and a change of scenery helps to break up an event
and add interest. Ensure that breaks are scheduled for refreshments, preferably
in a different room, or even give delegates time to explore the local vicinity
if there are things to see or do.

not only the delegates that need looking after – consider the needs of
production crews and back of house staff. Is there somewhere for them to shower
or change as necessary?

First impressions count
Does
the venue have a welcoming reception with friendly staff? Make sure you visit
the venue prior to booking to get a feel for the greeting that your delegates
will receive. It’s the little things that make a big difference, so ensure that
there is someone to sign in visitors and provide them with any information they
may need, including directions to the relevant room and where the toilets are
situated!
