Seven ways to make outdoor events actually enjoyable in the heat

As the heatwave continues, scorching temps don’t have to melt your event plans or your guests’ good time.

With the right prep, you can keep everyone cool, comfy, and coming back for more. Here’s how:

  1. Shade is key

Tents, canopies, sail shades, even big umbrellas—whatever fits your vibe, make sure there’s ample shelter. Not only does shade drop the perceived temperature by several degrees, it gives guests a spot to recharge and escape the blazing sun.

2. Hydration stations everywhere

Ditch the lonely water cooler in the corner. Scatter hydration points around your venue with cold water, electrolyte drinks, and even flavored water infusions. Bonus points for branded reusable bottles or stylish cups guests can keep.

3. Time it right

If possible, schedule your event earlier in the morning or later in the afternoon/evening.

Midday sun is brutal and so is guest fatigue – make sure there’s an option for guests to be inside or in the shade during this time. . Sunset gatherings are not only cooler but naturally more atmospheric.

4. Serve chill-friendly food and treats

Forget heavy hot meals. Offer light, fresh foods like salads, fruit skewers, wraps, and ice-cold treats like popsicles, gelato, or frozen cocktails. Your guests’ tastebuds and body temperatures will thank you.

5. Pop up cooling lounges

Create themed ‘cool zones’ with lounge chairs, icy drinks, fans, and chilled aromatherapy towels. Think tropical tiki bar, Alpine ski lodge, or futuristic ice cave. A fun photo backdrop and a reprieve from the heat.

6. Cooling entertainment

Hire performers who incorporate ice or water into their acts. Ice sculptors doing live demos, a pop-up snow machine for Insta moments, or even a bubble artist spraying gentle mist. Unexpected—and unforgettable!

Or, set up tasteful, grown-up versions of water activities—think mist tunnels guests can walk through, sprinkle arches over pathways, or even a gentle water balloon toss station. Make it optional for those who’d rather stay dry!

7. Wearable coolness

Hand out wearable cooling gear: gel neck wraps, cooling wristbands, or mini personal fans that clip onto hats or lanyards. Guests will feel pampered and thank you for saving their hair and makeup.
