About the summits

The Association for Medical Education in Europe (AMEE) is a conference that provides an opportunity for those involved in the medical and healthcare sectors to share best practice and network with each other.

The 2022 conference took place in a hybrid format. Approximately 4,189 medical educators registered from 87 countries in person and virtually.

Unprecedented for 2022 was the opportunity to participate in both AMEE 2022 and Ottawa 2022 sequentially in the same venue. The Ottawa Conference on the Assessment of Competence in Medicine and the Health Professions is held biennially, usually in the Spring. 

The solution

The team at Seren Events were therefore responsible for operating two conferences at the same venue in Lyon, whilst facilitating both in person and virtual attendance. 

To facilitate this, the agency enhanced engagement between in-person and online delegates by integrating an ‘Ask the Speakers Live’ button within the virtual platform. This allowed online delegates to be streamed live into any of the rooms in Lyon for Q&A sessions, making them feel part of the in-person experience. 

The agency trained tech desk moderators to check the relevance of questions from online delegates before the onstage moderator introduced the online participant, and the tech team streamed them live to the in-person and online audiences.

Seren Events also used the online platform to allow delegates to set up themed networking meetings, enabling in-person delegates to sit in networking areas in Lyon while the online participants could connect and participate in the same meetings via mobile devices.

Results

Seren Events successfully managed a complex, hybrid event, enhancing engagement between in-person and online delegates and providing learning experiences for all participants.

For example, educational resources were made available online and in person, which reached 1,283 medical institutions from around the globe and 60 medical students. 

As a result, the agency also received recognition at the 2022 ABPCO Excellence Awards.
